Terms and Conditions
British Diversity Awards – Entry Terms and Conditions
1. About these terms
The British Diversity Awards are organised by Diversity Umbrella Limited (“the Organiser”). These terms apply to all award entries and nominations submitted through the British Diversity Awards’ Evessio website. By submitting an entry, you confirm that you have read and accepted these terms and the published criteria for your chosen category.
2. Eligibility
Entries must meet the eligibility requirements and judging criteria published for the relevant category. You may nominate yourself, your organisation, team or initiative, or another eligible individual or organisation. Where submitting on someone else’s behalf, you should, where possible, have their permission to share the information provided. The Organiser may contact the nominee to confirm their acceptance before including them in the shortlist. Entries in more than one category must address each category’s specific criteria.
3. Submitting an entry
Entry to the British Diversity Awards is free. Entries must be completed and submitted through Evessio by the published closing date. Saved drafts will not be considered unless submitted. Entrants are responsible for ensuring that all required fields are completed, supporting materials are accessible and the submission complies with any word limits or other instructions. Entries may be edited through your Evessio account until the closing date. Any changes after that date require the Organiser’s agreement. The Organiser may extend the entry deadline. Any extension will be published on the awards website.
4. Accuracy and supporting materials
All information submitted must be accurate, truthful and fairly represent the nominee’s achievements. Claims should be supported by evidence wherever possible. You must have permission to use any photographs, logos, testimonials or other materials included in your entry. Do not submit confidential information or unnecessary personal information about other people. Any sensitive information required to explain an entry should be discussed with the Organiser before submission. The Organiser may request clarification or evidence to verify an entry. Entries containing materially false, misleading or unauthorised information may be rejected or disqualified.
5. Judging
Entries will be assessed against the published category criteria. Submitting an entry does not guarantee a place on the shortlist or an award. The Organiser may transfer an entry to a more appropriate category after notifying the entrant, combine categories where appropriate, or decide not to make an award where entries do not meet the required standard. Judges must declare relevant conflicts of interest and will not assess entries where such a conflict exists. Sponsorship, advertising and ticket or table purchases do not influence judging decisions. Judging decisions are final. Individual scores and feedback will not normally be provided.
6. Shortlist notification and confirmation
Shortlisted finalists will be contacted using the details supplied in their entry. Entrants must keep these details up to date and monitor their email, including spam folders. Finalists must confirm their acceptance and provide any requested information, biographies, photographs or logos by the deadlines communicated. If a finalist does not respond, the Organiser will make reasonable attempts to contact them before considering removal from the shortlist. Any shortlist or winner information shared before its public announcement must remain confidential until the stated embargo has passed.
7. Attendance at the awards ceremony
Where reasonably possible, shortlisted finalists are required to attend the British Diversity Awards ceremony to celebrate their achievements and those of their fellow finalists. For an organisation, team, network or project, at least one appropriate representative should attend. Individual finalists should attend personally wherever possible. Finalists must confirm their attendance arrangements by the deadline communicated by the Organiser. If a finalist cannot attend, they must notify the Organiser as soon as possible. The Organiser will consider individual circumstances, including health, disability, caring responsibilities, financial barriers, travel difficulties and other significant commitments. Where appropriate, an alternative representative or award acceptance arrangement may be agreed. Inability to attend will not automatically result in disqualification or affect the assessment of an entry. Finalists should contact the Organiser early to discuss accessibility requirements or other barriers to attendance.
8. Tickets and attendance costs
Submitting a nomination to the awards does not include a complimentary ticket or table unless expressly confirmed by the Organisers in writing. Any ticket or table charges will be communicated separately. Finalists are responsible for their travel, accommodation and other attendance expenses unless alternative arrangements have been agreed in writing. Ticket, table and sponsorship bookings are subject to separate booking terms and conditions.
9. Publicity and use of entry materials
Finalists and winners may be featured on the awards website, social media, event materials, press coverage and other publicity relating to the British Diversity Awards. Entrants retain ownership of their submitted materials. By supplying approved publicity materials, entrants grant the Organiser permission to reproduce and reasonably edit those materials for awards publicity, including through its media and production partners. Full entry submissions and supporting evidence will not be published without permission. Any information approved for publication must be suitable for public use. Photography and filming may take place at the ceremony. Attendees will receive information about this and how to raise any concerns before the event.
10. Personal information
Personal information will be handled in accordance with applicable UK data protection law and the Privacy Policy linked on the awards website. Entry information may be shared with judges and service providers where necessary to administer, assess and deliver the awards. Acceptance of these terms does not constitute consent to unrelated marketing.
11. Withdrawal and disqualification
To withdraw an entry, contact the Organiser in writing as soon as possible. The Organiser may reject an entry, remove a finalist or withdraw an award where there is a material breach of these terms, verified misrepresentation, ineligibility or substantiated conduct fundamentally inconsistent with the awards’ commitment to equality and inclusion. Before taking such action, the Organiser will normally explain its concerns and give the affected party a reasonable opportunity to respond.
12. Changes to the awards
The Organiser may make reasonable changes to the awards timetable, ceremony arrangements or format where necessary. Material changes will be communicated as soon as reasonably practicable. Any changes to these entry terms will be published on the awards website. Changes will not retrospectively disadvantage entries already submitted without the affected entrant’s agreement.
13. General and contact
These terms are governed by the laws of England and Wales. Nothing in these terms limits any rights or liabilities that cannot lawfully be limited. For questions about entries, eligibility, attendance or accessibility, contact: events@britishdiversityawards.com
